Way to Connect Zoom to Otter.ai to Get a Transcription of your Video Meeting’s Audio

When you want to keep tracks of meeting minutes, then it will be challenging, especially in the zoom meeting because there are so many different voices that can speak conceivably. That’s why Otter.ai comes in because with Otter.ai your zoom meeting will be automatically transcribed so that you do not have to take down minutes manually.

There is two processes by which you can connect your Zoom with Otter.ai:

  • The first method will allow you to take down the meetings as it happens and after that, it will allow you to follow along to the conversation as it develops.
  • And in the second method, you can use your recorded zoom meeting and creates a transcript from it.

Here is the way how to do both together.

Way to connect zoom to otter.ai to transcribe a meeting as it happens

When you want to connect the Zoom with Otter.ai, then both the Zoom administrator and the Zoom meeting host need to follow several steps; there is the possibility that in some cases, the Zoom administrator and the Zoom meeting host will be the same person.

The first step of this process involves activating Otter Live Notes for Zoom and then adjusting its settings.

Zoom Administrator:

  • When Zoom administrators start this process, then before the start, they should have both the Otter Business and the Zoom Pro.
  • In the next step, you should go to the marketplace.zoom.us when you are login to Zoom as an administrator.
  • In the next step, you should click on the “Otter.ai Live Notes for Zoom.”
  • In the next step, you have to make sure that the slider next to the “Pre-approve” displays blue and white when it does not display, then you should click on the slider by which it displays blue and white. After that should click on the “Who Can Install” tab and then click the slider next to the “Allow all users on the account with the needed permissions to install this step.” After that, this slider should be blue and white; if it still does not, you should click on it again.
  • In the next step, you should go to zoom.us and then login if promoted then.
  • In the next step, you should click on the “Account Management” and after that “Account Settings” under the Admin heading in the left side corner. You have to make sure that the Meeting tab is open.
  • In the next step, you should click on the slider which is next to “Allow live streaming of the meeting,” and after that, click on “Enable” in the popup window; after that, a menu will be displayed, and then you should click on the box beside “Custom Live Streaming Services” so that it will display checked. And in the last, you should click on the box which is below of “Provide specific instructions […]” and then type “Otter.ai” with a quotation mark and then click “Save” when you completed.
  • In the next step, you should return your attention to the left side column and then locate the “Personal” heading and then click “Settings” under it and then click “In Meeting (Advanced)” under the “Meeting” tab.
  • At last, you should click on the slider next to “Allow live streaming of meeting” after that, there will be a display menu on the page, and then you should click on the box beside “Custom Live Streaming Service” so that it will display as checked. And in the last, you should click on the box which is below of “Provide specific instructions […]” and then type “Otter.ai” with a quotation mark and then click “Save” when you completed.

Zoom Host:

When the administrator has sent Otter Live Note, the meeting host needs to perform some setup tasks.

  • Firstly you should go to the zoom.us and then login into the meeting host, and then you should locate the “Personal” heading and then click “Setting” in the left side column. After that, click “In Meeting (Advanced) under the “Meeting” tab.
  • In the next step, you should click on the slider beside “Allow live streaming of meeting” after that, a menu will be displayed, and then you should click on the box beside “Custom Live Streaming Service” so that it will display as checked. And in the last, you should click on the box which is below of “Provide specific instructions […]” and then type “Otter.ai” with a quotation mark and then click “Save” when you completed.
  • In the next step, you should go to otter.ai and log in if prompted to do so. After that, click on “Apps” in the left side column and then look for Otter Live Notes in the list, and then when you find it, click on the “Add” button beside Otter Live Notes.
  • In the next step, you should log in to Zoom when you are prompted to do so and when Otter Live Notes requests access to your Zoom account, then click “Authorize.”
  • At last, you should click on the “Configuration Guide” and then click “Test Configuration,” and when the process was successful, then you will receive the notification which indicates it is successful.

Way to Connect Zoom to Otter.ai to Transcribe a Meeting After it has ended

When you want to get a transcript of the Zoom meeting, but the meeting is already ended, you do not have to worry because Otter.ai can do for you by a future called Zoom Sync. With the help of Zoom Sync, any Zoom meeting which was recorded can be transcribed by Otter.ai.

Zoom Administrator:

When Zoom administrators start this process, they should have both the Otter Business and the Zoom Pro before start.

  • Firstly, when you log in into the Zoom app, you should go to marketplace.zoom.us and then click “Otter Live Notes For Zoom,” and then you have to make sure the slider beside “Pre-Approve” display blue and white when it does not, then click on the slider again.
  • In the next step, you should return to zoom.us and then click “Account Management,” and then click “Account Settings” under the “Admin” heading in the left side column.
  • In the next step, you should click on the “Recording” tab, and there is a particular configuration of these settings required for the Zoom Sync to work.
  • Enable “Cloud Recording” and then check “Record an audio only file.”
  • Enable “Automatic recording” and then check “Record in the cloud.”
  • Disable “IP Address access control.”
  • Disable “Require users to authenticate before they viewing cloud recording.”
  • Disable “Prevent host from accessing their cloud recording.”
  • Disable “Required password to access shared cloud recording.”

Zoom Host:

For the next step, every Zoom meeting host will need to perform this task before using Zoom Sync.

  • Firstly you should go to the zoom.us and then login as a meeting host; after that, click “Settings” in the left side column and then click “Recording: tab.
  • In the next step, as similar to the administration’s task, each meeting host must configure their settings.
  • Enable “Cloud Recording” and then check “Record an audio only file.”
  • Enable “Allow cloud recording sharing;.”
  • Enable “Automatic recording” and then check “Record in the cloud.”
  • Disable “IP Address access control.”
  • Disable “Require users to authenticate before they viewing cloud recording.”
  • Disable “Set recording an on demand by default.”
  • Disable “Required password to access shared cloud recording.”
  • In the next step, you should go to otter.ai and login if prompted to do so and click “Apps” in the left side column beside “Sync cloud recording” after that, you will see the “Add” button or slider. When you see the “Add” button, click on it, and then you have to make sure that it is blue and white; when not, then click on it again.
  • In the next step, you should log in to Zoom when you are prompted to do so and then click “Authorize.”
  • At last, you should click on the “Configuration Guide” and then click “Create Zoom Recording,” and this will permit you to test Zoom Sync and then make sure that it is working correctly and when the test meeting starts then you have to make sure that your microphone is on and then you should talk for approx 10 seconds or so before ending the meeting.
